How to prepare for process automation and AI

Are you planning to automate your business processes this year? Unfortunately, automation and AI aren’t magic bullets; they’re tools that amplify what your people and processes already do. Good preparation will help you ensure a smooth implementation and avoid costly delays. Before you select tools or start development, focus on these foundational steps:


  • Start with clear outcomes, not technology: pick 1–2 measurable business goals (e.g. cycle time, customer satisfaction, cost). Focus first on high-volume internal processes that impact your KPIs. Don’t rush into a solution that may not meet your business needs.

  • Map the process end-to-end: document how work actually flows today, including handoffs, decision points, exceptions, and rework. A visual process map exposes variability that automation would otherwise codify.

  • Standardize before you automate: work with process teams to remove unnecessary variation and one-off practices. Standardization reduces complexity, lowers implementation risk, and accelerates ROI.

  • Assess data and systems readiness: good inputs lead to good outputs. Assess data quality, availability, and integration points across systems. Identify where manual data entry, delayed updates, or inconsistent formats create bottlenecks.

  • Design for exceptions and humans-in-the-loop: automation should handle repetitive or predictable work, but all processes have exceptions. Define clear escalation paths, decision rules, and the human owners responsible for judgment and edge cases.
